Everyone on your team works inside the same account. A user is one colleague, with one role that decides which pages they can open.
The account owner is unrestricted. Everyone else sees only what their role allows, so create the role before you invite the person.
Before you start
- Decide the role first. Inviting someone without the right role means they log in and find half the menu missing.
- You need their email address. Everything else is optional.
Steps
- 1
Add the user
Click Add User and fill in Full Name, Email, optionally Phone, and the Role.
The users list and add button - 2
Invite them, or set a password yourself
Tick Send invite email instead of setting a password and they receive an email to set their own. Leave it unticked and you type a Password for them.
Prefer the invite. A password you type has to be delivered to them somehow, and that channel is usually less safe than the email link.

Check that they arrived
Last Login shows Never until they sign in for the first time — the quickest way to see whether an invite actually landed.
Invite emails get filtered. If Last Login still says Never after a day, use Resend Invite before assuming they ignored it.
The last login column - 4
Turn access off without deleting
Deactivate sets the user to Passive: they cannot sign in, but their history stays intact. Activate brings them back.
Deactivate rather than delete when someone leaves. Deleting removes the person from your records; deactivating just closes the door.
Good to know
- Changing someone's role takes effect on their next page load — they do not need to be told to log out.
- A user with no role can sign in but reach almost nothing. If a colleague reports an empty panel, check their role first.
- Only the account owner can be without a role, because owners bypass permission checks entirely.
